Terms of Service

1. Who we are

The UMKC Vietnamese Student Association ("VSA", "we") is an independent student organization at the University of Missouri-Kansas City. We are not operated by the university, and the university is not responsible for these services. These terms cover umkcvsa.org, the member portal, our public forms, and our club Discord server ("the services"). Our Privacy Policy explains what data we collect and how we handle it.

2. Eligibility

The services are meant for UMKC students, alumni, and friends of the club. If you're under 18, make sure you have a parent or guardian's permission before creating an account.

3. Your account

• Anyone is welcome to create a member account. Use your real name — officers can correct typos, but accounts that impersonate others will be removed. You can pick an alias for how you appear to other members.
• One account per person. You're responsible for keeping your password private and for activity on your account. Tell us right away if you think it's been compromised.
• You can delete your account at any time in Settings → Data & account. Deleting your account removes your profile, VND balance, and awards.

4. Acceptable use

Be respectful. Don't use the services to harass anyone, post offensive or unlawful content, spam, disrupt club systems, probe for vulnerabilities, or attempt to access data or areas that aren't yours. Don't try to farm, transfer, or exploit the points system. We may remove content and suspend or remove accounts that break these rules.

5. VND & rewards

• Participation points ("VND", also written Đồng) are a fun club perk — they have no cash value, aren't real currency, can't be transferred or sold, and may be adjusted or reset by officers (for example to fix errors or at the end of a school year).
• Redeeming a reward places a hold on your balance until an officer hands the item over; you can cancel within 4 hours of redeeming, after which an officer has to cancel it for you.
• Rewards are limited by stock and availability isn't guaranteed — substitutions or corrections are at officers' discretion.

6. Merchandise

Merchandise is sold by the club to support our programs. Pickup and payment are arranged in person at events or with an officer. If something's wrong with an order, email us and we'll make it right.

7. Forms & things you submit

Officers can share public form links (surveys, check-ins, sign-ups). Responses go to club officers. Please don't put passwords, financial details, or other sensitive personal information in a form — we'll never ask for those. You keep ownership of anything you submit to the services; you give the club permission to host and show it within the services so they can work. We may remove submissions that are abusive or off-topic.

8. Discord & the VSA bot

• Our Discord server has automatic moderation: hateful content is blocked, repeat violations earn warnings, and three warnings result in a timeout. Server moderation decisions are at officers' discretion.
• The VSA bot's chat replies are generated automatically. They can be wrong or out of date, and they are not official statements of the club — check with an officer for anything that matters.
• Linking your Discord account is optional and can be undone anytime in Settings → Discord.

9. Events & photos

We photograph and record club events. By attending, you're okay with appearing in event photos and videos we share on our website and social media. Want a specific photo taken down? Email us and we'll handle it.

10. Our content

The VSA name, logo, and site content belong to the club. Don't reuse them in ways that suggest VSA endorsement without asking us first.

11. Third-party services

The services run on third-party platforms (website hosting, database and authentication, email delivery, and Discord). Those platforms have their own terms for their own products, and outages on their side are outside our control.

12. No warranties & liability

The services are provided as-is by student volunteers. We do our best, but we can't promise uninterrupted or error-free operation, and to the maximum extent permitted by law we're not liable for indirect or consequential losses arising from use of the services. Nothing here limits liability that can't legally be limited.

13. Governing law

These terms are governed by the laws of the State of Missouri, without regard to conflict-of-law rules.

14. Changes

We may update these terms as the club and its services evolve. Meaningful changes will be announced on the website; continuing to use the services after a change means you accept the updated terms.
